Definition

Tutorial: Any teaching event with a specific time, date and location. Each tutorial has a unique link and web address. When created, a tutorial can be targetted and made visible to a specific group of users.
Course: A course groups tutorials of a similar theme together. Only administrators can create courses.
Courses can be targeted to specific year-groups of users. The administrator defines the settings of the course, e.g. which users can add tutorials to the course, how many tutorials students can sign up to, etc.

Teaching

Courses: The main way to browse teaching. Browse tutorials available for you to attend or teach in each course.

List Teaching: Lists all tutorials you can attend or teach in chronological order.

List Your Teaching: Lists all tutorials you have booked to attend or teach.

Create a Tutorial

(Note: not all users can create tutorials. This depends on how an individual course was created).

  1. Click “Teaching” and “Courses” from the black menu-bar
  2. Select a course from those listed on the left
  3. Click “Add a tutorial”
  4. Fill in the pro-forma
    • Targetting: The right-hand Attendee and Tutor options allow you to select who can attend your tutorial
    • Capacity: set the maximum numbers of tutors and attendees
    • Private tutorial: tutorial only accessible through URL/hyperlink
    • Feedback: Advanced Options allows you to customize feedback questions posed to students after the tutorial. Only available if allowed by course creator

Feedback and Attendance Confirmations

TuteMate allows students to complete feedback for tutors online, and tutors to monitor attendance and keep a record of teaching and feedback. All feedback is anonymous, and only visible to you and the tutor.

Users will be prompted with any feedback needing completing and attendance needing confirming when they log in.

How to Complete Feedback

Tutorials students have attended but have not yet given feedback for are flagged here.

To complete feedback:

  1. Click Feedback on the black menu-bar
  2. Click the blue tutorial page hyperlinks under “Feedback to complete”
  3. Complete the feedback form on the right

Feedback is anonymous and only visible to the tutor and you.

Confirm Attendance

Allows you to confirm people's attendance to a tutorial you have tutored. Only tutorials which have been confirmed will be logged and documented in users’ certificates.

To confirm attendance:

  1. Click Feedback on the black menu-bar
  2. Click the blue tutorial page hyperlinks under “Attendance to confirm”
  3. Complete the feedback form on the right

Calendar

Allows you to view tutorials in a calendar display.

My Calendar: displays tutorials that you are down to tutor or attend

Event Calendar: displays all tutorials available for you to attend or tutor

Sync to your personal calendars: development in progress

Account

Click your email address link on the black menu-bar if you want to change your account details.

Administrator Functions

Create a Course (Administrators Only)

  1. Select “Add course” from the courses main page
  2. Fill in pro-forma
    1. Group based course visibility – allows you to target the course to specific user groups (see groups below)
    2. Set tutorial Feedback – allows you to set the format of the default feedback for each tutorial.
    3. Can tutors customize feedback? Allows tutors to customize feedback of their tutorials when they create it

Groups

Allows you to create, edit and delete groups of users that can then be assigned to tutorials (see below).

Assignment

Allows administrators to sign users to teach and/or attend tutorials on their behalf.

Either done via the courses main page under “Assign Groups” or on the “add tutorial” pro-forma. Administrators can assign groups that do not fit the criteria of the tutorial in terms of capacity or targeted groups.

Profiles

Allows administrators to browse the profiles of users in their institution.

Feedback Help

TuteMate allows students to complete feedback for tutors more easily, and tutors to monitor attendance and keep a record of teaching and feedback. If feedback is requested by tutor, an email will automatically be sent to students with a link to complete feedback about the tutorial.

All feedback is anonymous, and is only visible to you and the tutor.

Outstanding Feedback

Tutorials students have attended but have not yet given feedback for are flagged here.

To complete feedback:

  1. Click the blue hyperlink to the tutorial page.
  2. Rate the tutorial.
  3. Type other feedback/comments in textboxes.
  4. Click "Submit"

Your feedback is anonymous and only visible to the tutor and you.

My Feedback

Shows feedback you have given or received.

Confirm Attendance

Allows you to confirm people's attendance to a tutorial you have tutored.
